Who we are

MS2 Property Group Ltd (company number 14770912) is responsible for the personal information described in this notice. Our registered office is Europa House, 20 Esplanade, Scarborough, England YO11 2AQ.

For privacy questions, requests or complaints, email info@ms2propertygroup.co.uk or write to our registered office, marked Data protection.

Information we collect and why

When you contact us through this website, we collect your name, email address, enquiry type, message and any telephone number or other information you choose to provide. For room enquiries, this may include your preferred moving date. We use these details to respond, arrange discussions and manage relevant follow-up. Enquiries are stored in our website and may also be handled through our business email.

Our lawful basis for general enquiries is legitimate interests: responding to people who contact our business and keeping a proportionate record of those discussions. Where you ask us to take necessary steps towards a contract with you personally, we rely on taking steps at your request before entering into that contract.

Please do not send identity documents, bank details, health information or other sensitive information through the general enquiry form. If an enquiry develops into a tenancy application, investment or another service requiring additional information, we will explain the relevant processing when that information is requested.

Sending an enquiry does not subscribe you to a marketing mailing list. Providing the information needed to answer your enquiry is voluntary, but without sufficient contact details we may be unable to respond.

Website operation and statistics

Our website and hosting services process technical information, such as IP addresses, request times, browser information and security events, to deliver and protect the website. Our lawful basis is our legitimate interest in operating a reliable and secure website.

With your permission, we use Jetpack statistics, provided by Automattic, to understand visits and improve the website. Statistics can involve information about your device, IP address, pages viewed and referring website. Our lawful basis for this optional processing is consent. You can accept or reject statistics and change your choice using the Manage consent button. Rejecting statistics does not prevent you using the website.

Essential technologies support website operation and remember your privacy choices. See our Cookie Policy for further information. There are currently no embedded property videos on the pages reviewed for this notice; any future video service will be covered by the relevant privacy information and controls when introduced.

Who receives your information

Relevant authorised team members use enquiry information to respond to you. Our website is hosted through Bluehost and our business email uses Microsoft 365. These services process information as needed to provide hosting, email and related support and security functions. Jetpack statistics involves Automattic when you allow it. Complianz manages the website’s consent choices.

If you follow our WhatsApp or social media links, your interaction takes place through the relevant external service and its privacy information also applies. We do not treat following a link as subscribing to marketing.

Where an enquiry requires an introduction to another organisation, we will explain the proposed sharing and establish an appropriate basis before sharing your information. Information may also be disclosed where required by law or where necessary to establish, exercise or defend legal claims.

International processing

Our technology providers operate internationally, so their services may involve processing outside the UK. Applicable UK data protection requirements apply to restricted transfers, including an adequacy decision or appropriate contractual safeguards where required. Contact us using the details above for information about arrangements relevant to your personal information.

How long we keep information

We retain only information we need for the purpose for which it was collected. We assess retention by considering whether an enquiry remains active, whether an ongoing business relationship or contract requires the record, and any legal, accounting or dispute-related need to retain it. When information is no longer needed, it should be deleted or anonymised. Backup copies are subject to the relevant system’s replacement and deletion cycles.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction of its use or a portable copy. You may object to processing based on legitimate interests. Where we rely on consent, you can withdraw it without affecting the lawfulness of processing before withdrawal. Rights are subject to applicable conditions and exemptions.

Contact info@ms2propertygroup.co.uk to make a request. We may ask for proportionate information to verify your identity. We normally respond within one month, subject to the timing rules and extensions permitted by law.

Complaints

You can raise a data protection complaint using our email address or registered office above. We will acknowledge it within 30 days, investigate appropriately, keep you informed and communicate the outcome. You may also complain to the Information Commissioner’s Office.

Changes to this notice

We will update this notice when our website or use of personal information changes. The date above shows when it was last updated.
